Communication Approaches

For agencies to provide information directly to Elected Officials consider the use of Distribution Groups which include All Elected Officials and additionally Appointed Officials as well within each Municipality.

Examples:

• Supervisors@YourMunicipalDomain
• KeyPersonnel@YourMunicipalDomain

• QQ1234Zork@YourMunicipalDomain

• Assures all team members receive the same information simultaneously
• No delays or Filtering
• Groups would contain only direct emails of the individuals you include
• Following Each Municipal election Group Members are updated by Municipality

 
When creating the group, assure the group is addressable by external senders.(Should Distribution Groups not be allowed for external access create an email account which Always forwards to the Distribution Group.  Outside parties then send to the email and it moves the message to distribution.)
 
Why do this – it is simple for the agency sending information.  Requires they add one address per municipality and the maintenance of members is Updated by the Municipality Assuring the list is Current.
